Golden Vibes Counseling is seeking a highly organized, relationship-oriented, and mission-driven Operations Coordinator & Community Outreach Specialist to join our growing team.
This is not a traditional administrative position. We are looking for someone who enjoys building relationships, creating systems, supporting people, solving problems, and helping organizations grow. This role serves as a key support person for our therapists, clients, leadership team, and community partners.
As our practice continues to expand, we are seeking someone excited to become an integral part of our organization and help create an exceptional experience for both our clients and staff.

Golden Vibes Counseling provides compassionate, affirming, and evidence-based mental health services throughout Wisconsin and Florida. We specialize in trauma-informed care, neurodiversity-affirming services, LGBTQIA+ affirming care, and supporting individuals, couples, families, and children.

Operations Coordinator & Community Outreach Specialist
Position Overview
The Operations Coordinator & Community Outreach Specialist will support the daily operations of the practice while also serving as a key ambassador for Golden Vibes within the community.
This individual will help create a positive workplace culture, support therapists, coordinate client inquiries, assist with onboarding and HR functions, build referral relationships, and help implement systems that support continued growth.
Responsibilities
Operations & Administrative Support
- Support daily operations of the practice
- Assist leadership with administrative and special projects
- Maintain organized office systems and processes
- Coordinate office needs and vendor relationships
- Help improve operational efficiency and workflow
- Assist with office management and maintaining a welcoming environment for clients and staff
Client Care & Referral Coordination
- Respond to client inquiries and intake requests
- Assist with therapist-client matching
- Coordinate scheduling and referral processes
- Support positive client experiences from first contact onward
- Help maintain referral tracking systems
Human Resources & Team Support
- Assist with employee onboarding and orientation
- Support HR-related administrative functions
- Help maintain employee records and onboarding processes
- Coordinate staff appreciation initiatives
- Help plan retreats, trainings, team-building events, and wellness activities
- Support efforts to create a positive and connected workplace culture
Community Outreach & Business Development
- Build and maintain relationships with referral sources and community partners
- Represent Golden Vibes at networking and community events
- Develop relationships with healthcare providers, schools, businesses, and organizations
- Assist with marketing and outreach initiatives
- Help increase awareness of Golden Vibes services throughout Wisconsin and Florida
Growth & Strategic Support
- Identify opportunities for organizational growth
- Support implementation of new systems and processes
- Assist with special projects and expansion efforts
- Help strengthen the long-term vision and mission of the organization
Preferred Qualifications
- Bachelor’s degree preferred
- Experience in healthcare administration, human resources, business operations, customer service, healthcare management, medical billing, or related fields
- Strong organizational and communication skills
- Excellent interpersonal and relationship-building abilities
- Ability to manage multiple priorities simultaneously
- Experience planning events or coordinating projects
- Experience supporting teams and creating systems that improve efficiency
- Mental health or healthcare experience preferred but not required
- Experience with networking, outreach, or community engagement preferred
